This policy explains what personal data we process when you use Filesforproof, why, and your rights under the GDPR.

What data we process
Depending on how you use the service, we process:
- Account data: name, email, optional company name, password (hashed), language preference.
- Content you upload: the files (images, video, audio, PDF) and the client/project information you enter.
- Usage data: share-link views, approval decisions, and basic technical logs needed to run the service securely.
- Payment data: handled by our payment processor; we store only the subscription status and identifiers, never card numbers.
Why we process it
To provide the proofing service: storing your work, generating protected previews, sharing links with your clients, recording approvals, billing, and account security.
Legal basis
Processing is based on the performance of our contract with you (Art. 6(1)(b) GDPR), our legitimate interests in operating and securing the service (Art. 6(1)(f)), and, where applicable, your consent (Art. 6(1)(a)) and legal obligations (Art. 6(1)(c)).
Processors and third parties
We use carefully selected providers who process data on our behalf:
- Stripe — payment processing (only when you subscribe).
- Our email provider — to send transactional emails (sign-in links, notifications).
- Our EU-based hosting — stores your data on servers in the EU.
How long we keep data
We keep your data while your account is active. When your account is deleted, your content and personal data are removed, except where we must retain certain records (e.g. invoices) to meet legal obligations.
Your rights
Under the GDPR you have the right to:
- Access — request a copy of your data (available directly in Settings).
- Rectification — correct inaccurate data.
- Erasure — request deletion of your account and data.
- Portability — receive your data in a machine-readable format.
- Complaint — lodge a complaint with your data protection authority (in Austria: the Datenschutzbehörde).
